Most AI initiatives stall between a promising pilot and a measurable result. The models are rarely the problem. The gaps are in the data they can reach, the context they are given, the workflows they are wired into, and the controls that make it safe to let them act.
nVision closed those gaps in its own practice first. The architecture below is the one we operate every day — and the reference point we bring to business leaders who need to move from AI ambition to AI-enabled business outcomes.
See the blueprintAI agents are not a replacement for people. To succeed and to accelerate time-to-value, approach your agent strategy as you would a new human hire.
Five layers, one direction of travel: from where information originates to the finished work the business delivers.
Where information originates
Client email, meetings, calendars, and files in Microsoft 365 and Google Workspace. Recorded meetings and workshops with AI transcripts and summaries. Chat, bookings, and market research.
Move, route, and act on data
Orchestrated workflows connect our productivity suites to our system of record. An always-on AI assistant monitors, schedules, and drafts — behind secure, zero-trust access.
Structured data layer
A single source of truth for contacts, meetings, key correspondence, and research — plus the shared AI context that keeps every output consistent: persistent memory, house templates, and instruction standards.
How information is consumed
Claude by Anthropic, working with projects, memory, and custom skills — and embedded in the tools our team already uses, reaching data through approved connectors rather than copies.
What nVision delivers
Meeting minutes and executive summaries, workshop decks, weekly client status reports, enablement toolkits, assessments and surveys, and web and landing pages.
The write-back loop. Client engagement inputs and records flow back into the system of record, so every engagement makes the next one faster and better informed.
Agentic AI is not a future state for us. Ruthie works alongside the nVision team every day, connected to the same collaboration, messaging, and scheduling tools we use with clients. The design choice that matters most is restraint.
Ruthie is a trusted assistant who helps with research, scheduling, and other routine work that can be automated or on-demand. Ruthie can read and draft emails and prepare documents, but there is always a human reviewer before any email or client deliverable is sent. Agents, like Ruthie, earn trust by providing tangible value and consistent results. But this does not happen on its own — it is a deliberate outcome of a clear strategy and the full AI architecture that brings it to life.
As a best practice, agent roles should be specific. In addition to Ruthie, nVision has other AI agents that capture and prepare meeting minutes, capture and manage follow-up actions from meetings, emails, and other correspondence, automate client follow-up, and even summarize best practices derived from every engagement.
Works inside our collaboration and productivity suite, with scheduled check-ins and monitoring.
Drafts replies, scheduling, and follow-ups, and handles messaging and meeting-booking requests.
Nothing is sent until someone on our team has reviewed and approved it.
Once approved, the reply, booking, or follow-up goes out.
Five principles sit underneath every layer of our architecture. They are the reason we can extend what AI is allowed to do without extending our risk.
No credentials in code or automations.
No publicly exposed admin services.
Agent actions require approval.
Scoped permissions for every connector.
A written standard for what AI may read and write, through approved connectors only.
AI is only as good as the data it can reach. A single, structured source of truth did more for our results than any individual tool.
Shared memory, templates, and instruction standards are what turn a general-purpose model into one that produces work in your voice, to your standard, every time.
Adoption follows convenience. Putting AI inside the email, documents, spreadsheets, and presentations people already use beats asking them to change tools.
Decide what AI may read and write, and through which connectors, before you widen its reach. Retrofitting controls is slower than designing them in.
Outputs should feed the system of record. When they do, the value compounds; when they don't, every task starts from zero.
We bring first-hand experience, not a theoretical framework. Each step below is one we have taken in our own business.
Measure where you stand against the five layers — capture, integration, system of record, intelligence, and outputs — and find what is holding outcomes back.
Select the use cases that matter to the business and sequence them, so early results fund and inform what follows.
Define what AI may read and write, connect systems through approved integrations, and put access and credential controls in place first.
Bring agentic AI into daily work with human approval built in, and widen its role as trust is earned.
